This Privacy Policy explains how Rhondos (“Rhondos”, “we”, “us”) processes personal information collected through the Rhondos Partner Portal (the “Portal”) and the services connected to it.
1. Information We Collect
We collect the following categories of personal information:
- Account & contact data — name, email, job title, phone number, and the partner organization you represent.
- Authentication data — verification codes, session tokens, and timestamps used to sign you in.
- CRM data — deal registrations, customer contacts you submit, regions, platform focus, deal stage, expected close dates, and related notes synchronized with HubSpot.
- Technical data — IP address, user agent, device information, page interactions, and timestamps logged for security and reliability.
2. How We Use Information
We use personal information to:
- operate the Portal, including authentication, deal registration, approvals, and notifications;
- synchronize partner, contact, and deal records with Rhondos’ CRM (HubSpot);
- send transactional emails (verification codes, deal status updates, expiration reminders);
- monitor and improve the security, integrity, and performance of the Portal;
- comply with legal obligations and enforce our agreements.
3. Legal Bases (EEA / UK)
Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases: performance of a contract (to provide the Portal you requested), legitimate interests (to secure and improve the service, prevent misuse, and develop our partner program), compliance with legal obligations, and your consent where required (for example, for non-essential cookies).
4. How We Share Information
We share personal information only as described below:
- Service providers — including HubSpot (CRM), Amazon Web Services (hosting, email, authentication), and other infrastructure vendors that process data on our behalf under appropriate contracts.
- Rhondos affiliates and personnel — for the purposes described in this Policy.
- Legal & safety — to comply with law, valid legal process, or to protect rights, property, or safety.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.
We do not sell personal information.
5. International Transfers
Personal information may be transferred to and processed in countries other than the one in which you reside, including the United States and the European Union. Where required, Rhondos relies on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.
6. Data Retention
We retain personal information for as long as your organization maintains an active partner relationship with Rhondos and as needed to fulfill the purposes described in this Policy, comply with legal obligations, resolve disputes, and enforce our agreements. Inactive accounts and stale CRM records are reviewed and deleted or anonymized on a periodic basis.
7. Your Rights
Subject to applicable law, you may have the right to access, correct, delete, restrict, or object to processing of your personal information, and to data portability. You also have the right to lodge a complaint with a supervisory authority. To exercise these rights, contact privacy@rhondos.com.
8. Cookies & Similar Technologies
The Portal uses strictly-necessary cookies to keep you signed in and to maintain session security. We do not use advertising cookies. Where analytics cookies are used, they are aggregated and used solely to improve the Portal’s reliability and usability.
9. Security
Rhondos applies administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction. No system is perfectly secure, however, and we cannot guarantee absolute security.
10. Children
The Portal is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children.
11. Changes to This Policy
We may update this Policy from time to time. Material changes will be communicated through the Portal or by email. The “Last updated” date at the top of this Policy indicates when it was last revised.
